About Priority (advanced)
Add a New Resource
Click on the Suitcase to Add a new Resource. Remember to setup the times the resource is active so the system knows what times are bookable
Also remember to make your schedule of type “Bookable” so the system knows you’re free
Example
A resource can be a “Weights Room” – which can be booked out, or it can be a person “Coach Bob” or “Yoga Room”.
For example you might be a school with a sports hall, football pitch and squash court. in the evenings and weekends they may be sitting unused. Adding them as a bookable resource will enable you to automate people booking and paying you for their use.
Or you are a coach who has Wednesday and Friday evenings free for coaching jobs. You can put yourself onto the system as a bookable resource and people will be able to see when you are free and it will also stay up to date with any new bookings you have taken.
How Its Used
A resource is booked by customers. Some resources like a single room – can only be booked once at a time period. “Coach Bob” can only do one personal training session at a time. Others like “Yoga Room” can be a class where multiple athletes can book.
You will need to bare this in mind when setting up your bookable products. An offering for you to go to a school to deliver a rugby session will need to be a bookable product with 1 booking per block. Where as if you wish to post an online yoga session for up to 10 people you will need to specify a bookable with 10 bookings per block.
About Priority (advanced)
If you have multiple Coaches that can do a session, or multiple rooms that can be used for a session, Priority tells the system which to use first. The higher the number, the more a resource will be used.

Add Your Booking to Marketplace
The second step is to create a product on the marketplace that uses your resources, charges what you want for your time/resources, and has a calendar that tells people when they can be booked.
This section takes you through all the options you have in adding your booking product to the marketplace.
About Video
You don’t have to worry about setting up anything special for Video. The new bookings automatically get a video room for delivery. We email the customer your video link, and put the booking straight into your queue
Step 1- Add Booking Product
Create a Booking Product
From the Add Product window below, select Bookable Product – to tell the system to add a product that has a schedule.
Has Resources – Leave blank for simple scenario of single booking person, that only has one product. If you do more than one type of service, have multiple people in your store, or have more than one booking product, then you must make yourself a resource. This is so that, when a booking for 9am for Personal training is made for Resource “Bob”, then the calendar for 9am goes unavailable for other products that depend on “Bob” like Power Fitness Class. Resources avoid double bookings. They also allow multiple staff members to manage a single product. For example, Bob, Doug, and Tina can all do a Fitness class and the product can be booked three times in one timeslot.
Is Virtual – Ensure that “Is Virtual” stays on. This is because there is nothing to ship in a booking
Product Detail – Add Title, Descriptions, pictures, and categories to your booking.
Visibility – Select Shop and Catalog visibility – this is how your product appears in the marketplace, and search results. You can select to hide it from the marketplace and have a product by invitation only.
Booking Options Tab
Set Booking Options
Select your Options of what block of time you are selling. Booking blocks are the chunk of time you are selling. For example are you renting out a house for 1 day ? Or are you doing a 30 minute personal training session.
Calendar Display Mode – is whether in the product a customer can see the calendar in real time, or they must click a button to display – we recommend leaving it at default.
Requires Confirmation – Default is to take the money from the customer and make booking automatically. Tick here if you want to receive an email and decide whether you will accept the booking or not. The customer will not be charged until you accept.
Can Be Cancelled – Can the customer just cancel the booking ? The default is that bookings CAN NOT be cancelled and we will not refund the customer on cancelation. You can override this here.
Attributes Tab (optional)
Set Search Attributes
Use this optional section to add custom search attributes to make it easier for customers to find your product in the marketplace.
Availability Tab
Booking Availability
You must tell the system the rules of when you are available so that it can build a calendar to tell your customers when you can take sessions. In this section you build your booking rules.
This is the products’ hours of service. Bookings are only possible if the hours of service in the booking AND the hours of service in a resource match. If the booking is only Monday to Friday, and the resources are only on the weekend, the customer will never see the product available. Please ensure your hours of booking, match the hours in the resource schedule.
Max Bookings per Block – Can the customer book a double slot ? For example two 30 min sessions back to back? If you set this to 1 (default) a customer can only book one time slot.
Min/Max Block Bookable – How far in the future you want to accept bookings. Leave at 0 months min (today) up to your Max time period.
Restricted Days – Use this setting to block off days you don’t want to do bookings (like Sunday for example)
Set Booking Rules – REQUIRED
Rules must be set telling the calendar what days are available. Select the Date range (from date- to date) and tell the system if the time is bookable. If you do not set a rule, the product will have no availability in the marketplace
Cost Tab
Pricing Rules
You must tell the system the rules of how much you charge for your booking slots.
Base Cost – This is the cost of making the booking. Its usually easier to just set this value for your timeslot, and leave the rest more advanced options. So if a base cost is 30£, then the booking will cost 30£ to the customer.
Block Cost – If you want to add additional costs per time block then use the Block Cost filed. Each block cost is added to the base cost. Example – if you have a Base cost of 30£- and a block cost of 10£ – then a booking of one time slot would cost 40£ and two timeslots 50£
Display Cost – The system automatically shows the customer the cost. If you want to override it, set a display price here. Note the customer will always be charged the full cost of your rules.
Set Booking Rules – Optional
Use these rules to set a mark-up or discount depending on dates and times. For example, more on weekends, less on a Wednesday, etc. If you don’t set rules, the base cost and block costs will apply
Resources (only if ticked)

Welcome to Just Coach UK Ltd, once you have chosen your membership level and configured your storefront you will want to add bookable products to your store. The site is very powerful and can accommodate many different sorts of products so we will need to be careful with some of the options we chose.
To add a bookable coaching slot in your calendar find and click on the “Create Bookable” icon (the names will come up if you hover your mouse).
The area bellow will have a list of your products once you have added some and will be where you can edit, duplicate or remove products later on.
The Create Bookable will bring up the configure product panel and there are some mandatory fields to add but the page will prompt you if you have forgotten any. Because we are adding bookable products you will firstly change Simple Product to Bookable Product.
Give your product a title, for example “Rugby for Kids” and add a unit price. The unit will be defined later so for now assume it is per hour. You will need to add a product photo so it will catch potential clients’ eyes. You can also add a gallery if you have several photos.
It is important to add at least one category to your product to make it searchable in the marketplace. Possibly the most important parts of your add will be the Short Description and Description. Hear you can really differentiate your offering by describing as much as you can about what a new client might expect from booking you.
Scrolling down past the Description box will bring you to a selection of input fields. We will go through the important ones in turn but any and as much detail you can fill in will benefit your posting.
The Booking Duration is the single unit length. most people will book in hour slots but if you are running longer sessions you can choose more.
The other options are rather self explanatory. you can chose to have the calendar displayed or clickable on the posting. You can make the booking require confirmation from you which will need a further input from you before the booking is final. You can also add in a cancellation option. We recommend you give people 2 days before the booking to cancel.
Attributes will make your offering more searchable and more specific. For example if you offer hour long football coaching sessions you might have a different price for junior age groups and adults.
If you offer specialist training for senior age groups you can add in age groups. Or sessions designed for different disabilities, you can specify for Deaf or Hard of Hearing or Locomotion Needs. If you would like to separate your Yoga sessions to male or female only you can do it here. You can also specify if participants will need to supply their own equipment or if you can.
Availability is a key to automating your online store here you can set the factors that will manage your calendar. If you travel between appointments you will want to avoid back to back bookings that are 10 miles apart. Use the buffer period for this.
We advice you make all days available by default and use the restrict selectable days or first booking start times to limit when people can book. Alternatively you should set all dates to un-available by default and add rules like below.
The example here will make the product available ONLY on Wednesdays from 1600 to 2000. Use the plus symbol to add more available days. The days and times you make bookable will appear in the calendar in the product view that customers will see.
Cost of your offering, remember this is the cost per unit. If your weekend calendar slots are premium time, you may wish to give them different prices using the rules options below.
Product policies will be important for you to confidently work with your clients. You may well have T&C already specified for when you are working with clients and just need to paste them in.
You may wish add in details for a refund policy to protect yourself against last minute cancellations or refund policies.
If you have set store wide T&C they will populate this section automatically.
